Chapter 4 of 6

Verifactu

Verifactu is the system with which the Spanish Tax Agency receives a record of each invoice at the moment it is issued. OnBio applies it to all your invoices from your first sale, before the dates when it becomes mandatory. You do not have to set up any software or send anything to comply.

Why it exists

Each record carries the fingerprint of the previous one, like the links of a chain. That way an invoice cannot be deleted or changed without it showing. That is why corrections are always made with corrective invoices, never by editing the original.

It is regulated by Royal Decree 1007/2023. Companies apply it from 1 January 2027 and the rest of those obliged from 1 July 2027. OnBio sends your records on your behalf thanks to the representation before the Tax Agency you signed at sign-up.

Follow the status of your records

  1. 1. Open Invoices in the side menu.
  2. 2. Look at the Verifactu column of each invoice.
  3. 3. Click the invoice to see its tax QR code.

A record goes from Pending to Accepted when the Tax Agency receives it. If it comes back Accepted with errors or Rejected, the OnBio team corrects the data and sends the fix. When the Tax Agency accepts it, the status becomes Corrected.

Check an invoice

Anyone with the invoice can check it with its QR code, your buyer too. It is the way to know the Tax Agency has it registered.

  1. 1. Open the invoice from Invoices.
  2. 2. Click Check with the Spanish Tax Agency.
  3. 3. Check on the Tax Agency page that the details match.

If the Tax Agency does not answer

OnBio keeps issuing your invoices even if the Tax Agency does not answer. It keeps the records in order and sends them when it answers again, without your sales stopping.

Your other invoices

Verifactu covers the invoices OnBio issues. If you issue other invoices outside OnBio, those need your own invoicing system. The responsible declaration of OnBio's system is published on Responsible declaration.

What you have now

You know what Verifactu is and how to check your invoices. In the next chapter you see the monthly self-billed invoice and its withholding.
