The self-billed invoice of each month

Reviewed on 4 October 2026

OnBio sells all your products as the legal seller and you provide your services to it. On the 1st of each month OnBio settles the previous month and issues in your name the self-billed invoice for those services, with your self-billing authorisation. You have 15 days to review it and reject it if something does not add up.

Before you start

  • Sign the Self-billing agreement in onboarding. Without it OnBio cannot settle your sales.
  • Complete your tax details, because they decide the VAT and the withholding of the self-billed invoice.

Review the self-billed invoice

You receive the email «Your self-billed invoice of» with the month and the PDF attached. You also have it in the report of the month.

  1. 1. Open Reports in the side menu.
  2. 2. Select the report of the month.
  3. 3. Review the sales, the commissions, the refunds and the net of the self-billed invoice.

Reject the self-billed invoice

  1. 1. Open the report of the month in Reports.
  2. 2. Select Reject the self-billed invoice.
  3. 3. Explain what does not add up in Reason.
  4. 4. Select Reject in the dialog.

What happens next

If you do not reject it within 15 calendar days, it is considered accepted. If you reject it, the OnBio team reviews it and answers you: it can confirm it as it is or issue a corrective self-billed invoice.

Keep in mind

  • The base of the self-billed invoice is your sales of the month minus the OnBio commission and the refunds.
  • It carries VAT if you are on the mainland or the Balearic Islands. In the Canary Islands, Ceuta and Melilla it goes with the reverse charge.
  • If you are self-employed with a professional activity, it carries the 15% income tax withholding, or 7% if you declared the reduced withholding.
  • If the authorisation is missing, you receive the email «We cannot settle your sales» with the month. The report of the month appears blocked in Reports until you sign it.
  • Sessions, session packs and custom services go into the self-billed invoice like courses.

Frequently asked questions

Do I have to declare the self-billed invoice?

Yes. The self-billed invoice is your invoice to OnBio for your services of the month. OnBio issuing it in your name does not change that the income is yours. Its VAT and its withholding go into your quarterly and annual returns. Give it to your accountant together with the report of the month, which you can download as PDF or CSV.
